This article introduces the enhanced GIA Memo Creator, a tool designed to streamline the submission process for gem grading and analysis by linking directly to your client portal for automatic data storage and digital memo transmission.
The GIA Memo Creator makes it easier than ever to submit your gems to GIA for grading and analysis. The GIA Memo Creator connects directly to your client portal account, so your information is automatically stored, reducing the amount of information needed to complete each memo. Once you create a new memo, a digital version will be sent directly to GIA and your memo can be easily accessed once we receive your shipment.
As you complete the “Create New Memo” form, you will be presented with all available services for your gemstone submission. Simply select the option that best suits your needs. For your convenience, the GIA Memo Creator allows you to easily reference all past memos.

1. Log into the GIA Client Portal. Don’t have an account? Register now.
2. Under GIA Memo Creator, select, “Create New Memo.”
3. Complete and submit the form to generate your PDF memo. A record of your new memo will be forwarded to GIA upon submission so we can expect your shipment.
4. Print the PDF memo and include it with your gemstones in your shipment to GIA.
If you are submitting fewer than ten stones, enter your stones one-by-one. If you are submitting ten or more stones, create a new memo by importing a .CSV file.
If you have GIA-provided barcode labels and are submitting ten or more stones, you can submit a job order online with My Laboratory. If this is how you choose to submit, print the My Laboratory job order number and enter it into the “Create New Memo” form. Be sure to include the printed My Laboratory job order number and account memo PDF in your shipment.
